Graduate Assistant - Office of Spiritual Formation

About the Position

Reporting to the Director of Spiritual Formation, the Graduate Assistant is responsible for providing administrative support to the Office of Spiritual Formation.

Essential Duties, Tasks and Responsibilities

  1. Office Management

    • Maintain presence in office for daily student interaction and assistance
    • Supervise office interns by directing weekly responsibilities and ensuring completion
    • Administrative support for part-time Worship Arts Coordinator for the SFOs
    • Fireside, Celebration and Community Worship
    • Monitor office email inbox, attending to or delegating emails/tasks
    • Order office supplies
  2. Communications

    • Assist the Leadership and Discipleship Coordinator in all departmental communications (email, print, social media)

  3. Event Scheduling

    • Oversee room reservations, campus Google calendaring and iAttend calendaring for all Spiritual Formation Opportunities (SFOs), including Life Groups, medium- group SFOs and large-group SFOs

    • Maintain clear communications with the Malone Event Services staff and follow all Event Services reservation guidelines

  4. SFO Attendance-Keeping

    • Supervise all SFO attendance-keeping for the Spiritual Formation Opportunities initiative, including: scheduling scanner volunteers and attendance-taking, communicating with Life Group leaders about group attendance-taking process and trouble-shooting, maintaining scanner equipment and computer programs, inputting student attendance records, managing exemption forms and meetings, and sending correspondence to students regarding attendance (much of the above tasks are completed with help from the student office workers).

  5. Jubilee Conference

    • Lead the organization of the annual Jubilee Conference trip with Malone students

    • Attend the Jubilee conference with student group and provide administrative leadership through the weekend

  6. Miscellaneous

    • Perform other duties as assigned by the Director of Spiritual Formation.

Knowledge, Skills and Abilities

Must exhibit a personal understanding of, and operate in concert with the Mission Statement, Foundational Principals, and Educational Goals of the University. A bachelor’s degree is required. A proven ability to effectively communicate both verbally and in writing is essential. Effective relational skills with a diversity of individuals is required. Demonstrated abilities to collaborate with a wide range of people is essential. Computer literacy (Microsoft Office) is required. Proven time management skills, the ability to prioritize, and record keeping abilities are essential. Ability to maintain a high degree of confidentiality of sensitive materials is required.
